Interim policy. This is the policy we operate under today, and it is accurate about what
we collect, who we share it with and how long we keep it. A small number of details are still
being confirmed and say so where they appear. A lawyer has not yet reviewed this page; we will
publish the reviewed version once they have.

In short
- We collect what you give us (your name, email, messages, form answers and, for some
programmes, a waiver) plus basic information about how you use this website.
- We use it to reply to you, run the community and programmes, take payment through a payment
provider, and, only if you say yes, send you news.
- We use named providers to do this. Some of them store information outside Australia.
- You can ask to see, correct or delete your information at any time:
[email protected].
1. Who we are
This website, the Avatara community at www.avatara.community,
and the online programmes and membership sold through them are run by Dr Brittany Jane
(“we”, “us”). Avatara is the name of our community, not a separate company.
- Business name: Dr Brittany Jane. Our full registered entity name is being confirmed and will be published here.
- ABN: being confirmed, and will be published here
- Postal address: 77 Bantry Street, Maddington, Western Australia 6109, Australia
- Privacy contact: [email protected]
2. The law we work under
We are an Australian business. We write this policy with the Privacy Act 1988 (Cth) and the
Australian Privacy Principles in mind, and we aim to handle your personal information in line
with them.
This policy applies to everyone who uses the website or community, wherever they live. If you are
outside Australia, your information is handled under this same policy. We write it under Australian
law and do not make separate promises under other countries’ privacy laws.
3. What we collect
- Contact details and enquiries. Your name, email address, phone number if you give one,
and your message, when you use the contact form, email us or sign up.
- Your account and community activity. Your name, email, profile details, posts, comments,
messages and which sessions you attend, held in our community platform.
- Forms and applications. Your answers when you apply for or enrol in a programme.
- Waivers and health disclosures. Some programmes ask you to sign a participant agreement
and waiver, or to tell us about your health, medication, mental health support, trauma or
addiction, so we can judge whether a programme suits you and look after you during it. This is
sensitive information. We ask for it only where it is needed, and we use it for that purpose.
- Payment details. You enter your card or bank details with our payment provider, not with
us. We do not see or store your full card number. We receive confirmation of what you bought, the
amount, the date, and whether a payment or instalment went through. We also keep invoices and
receipts.
- Live calls and recordings. Our live calls are recorded. A recording can include your
voice, your image if your camera is on, your name as shown on screen, and anything you type in
chat. See the Terms of Service on how recordings are used.
- Your email preferences. Whether you ticked the box to hear from us, and when.
- Technical information. Your IP address, browser and device type, the pages you view, the
page you came from, and campaign tags in the link you clicked (for example which post or email
sent you here). See Cookies and analytics.
4. Why we use it
- To reply to your enquiries.
- To run the community and programmes: give you access, deliver live calls and replays, and keep
track of who has joined.
- To take payment, run payment plans, issue invoices and receipts, and keep the financial records
the law requires.
- To look after the safety and wellbeing of people taking part, using waiver and application
answers.
- To send you news about Avatara, Vessel and Brittany’s teaching, if you have agreed.
- To understand how the website is used so we can improve it.
- To meet our legal obligations and handle any dispute.
We do not sell or rent your personal information, or our email list, to anyone. Waiver and health information is never used for marketing.
5. Who we share it with
We share information only with the providers below, and only what each needs to do its job. Each
has its own privacy policy.
| Provider | What it does for us |
| Circle | Runs the Avatara community and the courses inside it: your account, posts, messages and progress. |
| Zoho (CRM, Books, Forms, Mail, WorkDrive) | Holds our contact records and enquiries, invoicing and accounts, forms and signed waivers, business email, and our files. |
| Cloudflare | Runs the contact form behind this website, and its Turnstile check that tells a person from a bot. Turnstile sees your IP address and browser signals to do that. |
| Google (Analytics 4 and Tag Manager) | Shows us how the website is used. |
| Zoho PageSense | Website analytics. Where heatmaps are switched on, they also show where visitors click and scroll on a page. |
| Vimeo | Plays the videos we embed. Vimeo may collect viewing information when you press play. |
| Kit | Sends our email newsletters to people who have agreed to receive them. |
| Zoom | Hosts our live calls and records them. Some live sessions may instead be held inside Circle. |
| Payment provider | Takes your payment and runs instalments and renewals. We are confirming which payment providers we use and will name each one here. Whichever is used, you enter your card details with the provider, never with us. |
| Meta (Instagram and Facebook) | Carries the messages and comments you send us on Instagram or on our Facebook Page, and the replies we send back. |
| ManyChat | Currently sends automatic replies to Instagram and Facebook messages. We are replacing it. |
| Advisers and authorities | Our accountant and lawyers where needed, and government bodies where the law requires it. |
6. Where it is stored
Several of these providers are based in, or store information in, the United States and other
countries outside Australia. By using the website and our services you understand that your
information may be sent to and held by them overseas. We choose established providers that publish
their own privacy and security terms.
Our Zoho account, which holds our customer records, forms, email and files, is in Zoho's
United States data centre. Our community and course platform, Circle, and our
video and call providers, Vimeo and Zoom, also hold data in the United States. This means your
information is stored outside Australia.
7. How long we keep it
- Enquiries and contact records: 2 years after your last contact with us, or sooner if you ask us to delete them
- Community account and activity: while you are a member, and for 12 months after you leave
- Waivers and health disclosures: at least 7 years, and longer where our insurer or the law requires it
- Payment, invoice and tax records: tax law generally requires business records to be kept for at least five years.
- Email list: until you unsubscribe, then we keep a record that you did so.
- Recordings of live calls: while the recording is still offered as part of a programme or product, and for 12 months after it is withdrawn
- Website analytics: no more than 14 months
When we no longer need information, we delete it or remove what identifies you, unless the law
requires us to keep it.
8. Keeping it safe
We take reasonable steps to protect your information, including using reputable providers and
limiting who can log in to our systems. No system is perfectly secure, and we cannot promise it
will never be accessed without permission. If a breach is likely to cause you serious harm, we will
tell you and the Office of the Australian Information Commissioner, as the law requires.
9. Cookies and analytics
This website uses Google Analytics 4, loaded through Google Tag Manager, and Zoho PageSense.
They use cookies and similar technology to count visits, see which pages are used, and see where
visitors come from. They may record your IP address, device, browser and pages viewed.
- When you arrive through a campaign link, we keep the campaign tags (such as source and medium)
in your browser for that visit. If you then send the contact form, we pass them to our records so
we know where the enquiry came from.
- We try to strip common personal details, such as an email address, from the page address
before it reaches our analytics.
- Embedded Vimeo videos, the Cloudflare Turnstile check and the Circle community each use their
own cookies and technology. We do not control these.
- You can block or delete cookies in your browser settings, or use Google’s opt-out add-on
for Analytics at tools.google.com/dlpage/gaoptout.
Some parts of the website may not work as well if you do.
This website does not currently show a cookie banner. You can control or block cookies in your browser settings.
10. Email and marketing
On the contact form there is a box you can tick to hear from us. If you tick it, we add you to our
email list, run through Kit, and record that you agreed and when. We send marketing only where you
have agreed or where Australian law otherwise allows it, and every email has an unsubscribe link.
Unsubscribing stops marketing email. It does not delete your other records. To have those deleted,
see the next section.
11. Access, correction and deletion
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or
ask us to delete it. Email [email protected]
from the address we hold for you. We may need to check it is really you.
- We aim to reply within 30 days.
- There is no charge, either to make a request or to receive a copy of your own information.
- We may not be able to delete everything. We keep what the law requires, such as financial
records, or what we need to deal with a legal claim. We will tell you what we kept and why.
- If you appear in a recording of a live call and want to ask about it, write to us at the same
address. If a recording that includes you has already been published or sold, tell us. We will stop using it in any new material, and talk to you about what else can reasonably be done.
12. Complaints
If you are unhappy with how we have handled your information, write to
[email protected] and we will look into it.
If you are not satisfied with our answer, you can contact the Office of the Australian Information
Commissioner at www.oaic.gov.au.
13. Age
Our programmes and community are for adults. We do not knowingly collect information from anyone
under 18.
14. Changes to this policy
We may update this policy. We will post the new version on this page and change the date at the
top. If a change matters to you in a significant way, we will tell you by email.
